Privacy Policy

This Privacy Policy explains how Customs Clearance Services Ltd. (CCS) collects, uses, discloses and protects personal data, and the rights you have under Thailand’s Personal Data Protection Act B.E. 2562 (2019) (“PDPA”). It applies to this website, to enquiries and quote requests, and to personal data we handle when providing our customs brokerage and logistics services.

1. Who we are

Customs Clearance Services Ltd. is the data controller for the personal data described in this policy.

2. Personal data we collect

  • Messages, orders and complaints: your name, email address, phone number, company, and the details you give us about your shipment (service, port or airport, import or export, and your message).
  • Documents you send us: files you attach to our forms or send by email, such as invoices and packing lists. These may contain personal data of other people, such as the names and contact details of shippers or consignees. Please send only what we need, and only where you are entitled to share it.
  • Service records: if you become a client, the personal data in the documents needed to clear and move your goods, such as customs declarations, commercial documents, permits and correspondence.
  • Website data: our hosting provider records technical information such as IP address, browser type and the pages requested, to deliver and secure the site. Google Analytics also collects information about how the site is used, which you can turn off at any time; see our Cookies Policy.

We do not ask for sensitive personal data (such as health or religious data) through this website. Please do not send it to us.

3. Why we use your personal data, and our legal basis

  • To answer enquiries, open orders and handle complaints — to take steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
  • To provide our services, including customs clearance, freight forwarding and related work — performance of our contract with you or your company.
  • To meet legal obligations, including customs, tax and accounting laws, and requests from authorities — compliance with law.
  • To run, secure and improve this website — our legitimate interests, balanced against your rights.
  • To measure how the website is used (Google Analytics) — our legitimate interest in understanding and improving the site. You can object at any time with “Cookie settings” at the bottom of every page.
  • To send you news or marketing — only with your consent. We do not currently send marketing messages.

If you do not give us the information needed to answer an enquiry or provide a service, we may be unable to do so.

4. Who we share personal data with

We do not sell, rent or trade personal data. We share it only as needed for the purposes above, with:

  • the Thai Customs Department and other government agencies involved in clearing your goods and issuing permits;
  • carriers, shipping lines, airlines, freight partners and agents who move your goods;
  • service providers who support our business, such as website hosting and form processing (Netlify), website analytics (Google), and email and IT providers;
  • our professional advisers, such as lawyers and auditors;
  • courts, regulators and other authorities where the law requires it.

5. Transfers outside Thailand

Some of our service providers, such as Netlify and Google, store data outside Thailand, including in the United States. When goods move internationally, shipment data is also sent to partners and authorities in other countries. We transfer personal data abroad only as the PDPA allows — for example, where it is necessary to perform a contract with you, or where the recipient provides appropriate safeguards for the data.

6. How long we keep personal data

  • Enquiries and complaints that do not lead to business: up to 2 years after our last contact with you.
  • Client and service records: for the length of our business relationship, and afterwards for as long as customs, tax, accounting and other laws require us to keep them, or as needed to establish or defend legal claims.
  • Analytics data: as set in Google Analytics, up to 14 months.

When we no longer need personal data, we delete it or make it anonymous.

7. How we protect personal data

We use appropriate technical and organisational measures to protect personal data from loss and from unauthorised access, use, alteration or disclosure, and we limit access to people who need it for their work. If a personal data breach occurs that is likely to put your rights at risk, we will notify the authorities and, where required, you, as the PDPA requires.

8. Your rights

Under the PDPA, you have the right to:

  • access your personal data and ask for a copy, and ask how we obtained data you did not give us;
  • receive your personal data in a commonly used electronic format, or have it sent to another organisation, where the PDPA allows;
  • object to our use of your personal data;
  • ask us to delete, destroy or anonymise your personal data;
  • ask us to restrict the use of your personal data;
  • ask us to correct your personal data, or to complete or update it;
  • withdraw your consent at any time, where we rely on consent (this does not affect what we did before you withdrew it);
  • complain to the Office of the Personal Data Protection Committee (PDPC).

To use any of these rights, email info@ccscustoms.com. We may ask you to confirm your identity. We will respond within 30 days, and tell you if a legal exception means we cannot meet your request in full.

9. Other websites

This website links to other sites, such as Google Maps. We are not responsible for their content or their privacy practices; please read their own policies.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the new version on this page and change the “Last updated” date above.
